How to Request a Quotation from Dong DMC
What to send, what comes back, and how long it takes — for travel agencies, tour operators, incentive houses and MICE planners buying ground services in Vietnam, Cambodia and the Philippines.
A quotation request needs four things: passenger count, travel dates, destinations, and hotel tier. Send those and the request is logged with a reference number, an assigned specialist, and a stated deadline for the priced response.
There is no account to open first. The request form on this site captures the most in one pass; a message on WhatsApp is enough to start; and a forwarded client brief by email is read the same way.
This page describes the request process itself. For how responsibility and decision authority are structured once a programme is confirmed, see How Dong DMC Works With Partners.
Four ways to send a brief
Same desk, same net rates, same reference number. The difference is how much you set up before you start, and how structured you want the capture to be.
Request form on this site
The most structured capture. Fields for pax, dates, destinations, hotel tier and special requirements, so nothing has to be asked twice. Opens in a panel — no page to leave.
Open it from the Request Quote button in the bar at the bottom of any page.
Nothing to set up. Send four lines and the request is logged. Priced options come back on FIT and small-group briefs, in the same thread.
Use the WhatsApp button in the same bar, or see how WhatsApp quoting works.
Partner App
For verified travel businesses. Ready-made packages, saved quotations, booking history, loyalty tiers, and live visibility while a group is on the ground.
If a brief already exists, forward it as it stands. A pasted client email or a rooming list is read and logged the same way.

Both the request form and WhatsApp open from the bar fixed to the bottom of every page on this site, so neither needs to be looked for.
The form captures the most in one pass, so it usually needs the fewest follow-up questions. WhatsApp is the fastest to start. Most partners begin on one of those two and move to the Partner App once they work with us regularly — a request started in any channel is visible in the others.
1) What to Send
Four lines are usually enough to receive priced options. Anything missing is asked for once, and the rest of the request is logged in the meantime rather than held back.
Pax — adults and children, with ages
Travel dates, or the month if dates are not fixed
Destinations and hotel tier — 3, 4 or 5 star
A month is enough to start. Waiting until dates are fixed usually costs more time than it saves, because routing and seasonality can be assessed from the month alone.
2) Two Details That Change the Price
Children's ages. They decide extra bed against family room, free-of-charge cut-offs, and entrance tickets. Without them a family quotation has to be estimated, and an estimate that turns out wrong means quoting twice.
Dietary standard. No pork and no lard is the default across Indonesian programmes, confirmed with each venue before arrival. Certified halal is standard for Gulf, Middle East and Pakistan markets, and available on request for fully Muslim groups elsewhere. Vegetarian and Jain catering is standard for India. Stating this in the brief avoids a revision later.
3) What Comes Back
Two responses. The first confirms what was captured, gives a reference number, and names the specialist handling it. The second carries the priced options.
Each option is broken down line by line — unit price and quantity for every element — so you can see where to swap, extend, or remove before building your own selling price. Rates are net. Nothing in the documents you receive tells your client what you paid.
Every option carries a portal link with the full inclusions, itinerary and conditions, downloadable as a PDF for your own client presentation.
4) What Is Priced in Minutes, and What a Specialist Builds
These are two different paths, and it is worth knowing which one a brief is on before it is sent.
Structured options in minutes
FIT, private and seat-in-coach programmes, up to ten passengers, up to five days, on standard routings and published day tours. Built from contracted rates already in the system.
A specialist builds it
MICE, incentive, conference and gala programmes; larger groups; multi-city routings; series and repeated departures. Logged in minutes with a named owner and a deadline; priced by a person.
A three-hundred-passenger incentive programme is not a form to fill in, and it is better to say so than to imply otherwise. What the fast path gives that kind of brief is a logged request, a named owner, and a deadline that can be held to — within minutes, at any hour.
5) Timing
Acknowledgement — immediate, around the clock. Confirms what was captured and gives a reference number.
First response from a named specialist — under 60 minutes within business hours, Monday to Friday 09:00–18:00 GMT+7, with priority for MICE and incentive requests.
Quotation — every logged request is given a stated deadline at the point of acknowledgement.
While a group is on the ground — operations hotline, 24/7.
A brief sent at 22:00 on a Saturday is acknowledged and logged at 22:00 on a Saturday. A person picks it up when the desk opens. Stating that plainly is better than publishing a number the desk is not staffed to keep.
6) Trade Only
Dong DMC sells to travel agencies, tour operators, incentive houses, MICE planners, and companies buying travel for their own staff. There is no direct-to-consumer channel, and rates are net in every case.
A first request usually includes the agency name, country and website or business page. This is not a barrier — it establishes which market desk handles the account and which language and dietary standard apply by default.
7) After the Quotation
A quotation can be revised in the same thread under the same reference. Swap a day tour, add a night, change hotel tier, move from shared to private transport — the request comes back adjusted rather than restarted.
Once an option is accepted it converts into a live project with a confirmed operating team. How responsibility and escalation are structured from that point is described in How Dong DMC Works With Partners.
